HR Coordinator
The HR Coordinator plays a key role in supporting employee mobility and core HR administrative processes, with a particular focus on international relocations, work permits, and day-to-day HR operations.
This position is essential in ensuring a smooth and positive experience for internationally relocating employees while maintaining the efficiency and accuracy of HR services.
As a primary point of contact for both employees and managers, the HR Coordinator represents the HR function and is expected to provide responsive, reliable, and supportive service across the business.
Please note this is a Fixed-Term Contract (FTC) for an initial 6 month duration.
Key Responsibilities
- Global Mobility
- Manage end-to-end work permit application process.
- Coordinate visa applications and ensure compliance.
- Provide comprehensive relocation support including: Housing assistance; Local setup support in Ireland; Orientation to local services and facilities.
- Maintain relationships with immigration authorities and relocation service providers.
- Track permit/visa renewal dates and ensure timely processing.
- Ensure timely processing of relocation expenses.
- Pre-boarding & Onboarding
- Execute pre-boarding activities for new hires.
- Coordinate documentation collection and verification.
- Manage onboarding processes for both local and international employees.
- Complete required setup and orientation processes.
- HR Administration
- Support all areas of HR Administration as required.
- Administration of HR Inbox.
- Administer employee benefits and rewards programs.
- Communication with employees in relation to all areas of HR and company information.
- Process and track various types of leave.
- Maintain accurate personnel files and records.
- Process employee status changes and updates.
- Manage HR documentation and forms.
- Ensure compliance with record-keeping requirements.
- Coordination of SimoTech social events.
- Systems & Technology
- Support Zoho people or other HR systems.
- Conduct employee training on HR processes and Zoho People where required.
- Maintain system documentation and user guides.
- Assist with system updates and improvements.
- Process Improvement
- Identify opportunities to streamline HR processes and enhance the employee experience.
- Support the documentation and implementation of updated HR procedures.
- Compliance & Policy Support
- Assist in ensuring HR policies and procedures are up to date and consistently applied.
- Support HR compliance efforts including audits and policy reviews.
- Customer Service
- Deliver high-quality customer service by addressing employee concerns and questions with professionalism and empathy.
- Strong interpersonal and communication skills, with a focus on providing excellent customer service.
Qualifications
- Bachelor's degree in HR, Business Administration, or related field.
- 2-3 years of HR experience.
- Knowledge of immigration and work permit processes.
- Experience with HRIS platforms.
- Strong attention to detail.
- Excellent organisational abilities.
- Process management expertise and a focus on continuous improvement activities.
- Communication skills (written and verbal).
- Problem-solving capabilities.
